Who is responsible for your information

Zhang Wei, operating SoulName at soulname.love, is responsible for the personal information processed through this service. Questions and privacy requests can be sent to support@soulname.love.

Information we process

• If you join the Pro wait list, we store your email address and consent to contact you about the Pro launch. No payment is required. You can request removal at any time by contacting support@soulname.love.
• Account information, including your email address, account identifier, and information supplied by your sign-in provider when you choose Google sign-in.
• Naming information you provide: conversations, desired impressions, reflections, optional original names, native language, gender-expression preferences, and additional notes. We also save generated names, recommendations, revision requests, and selected cards.
• Purchase and delivery records, such as your selected plan, amount, payment status, transaction references, and expert-work progress. Payment card details are handled through checkout by the payment provider; they are not collected by our naming forms.
• Support correspondence, sharing and voting activity, and technical request, device, browser, and error information used to operate and troubleshoot the service.

Please provide only information you want used for naming. Avoid entering government identification numbers, payment credentials, health records, or sensitive information about yourself or other people.

Why we use it

We use this information to authenticate you, understand your naming preferences, generate or review names, fulfil purchases, save your progress, provide support, and investigate errors or abuse. Payment and operational records also support accounting and legal obligations.

Where applicable data protection law requires a legal basis, these uses are based on performing our agreement with you, our legitimate interests in operating and securing the service, and compliance with legal obligations. Where a particular use requires consent, we will ask for it; that consent can be withdrawn for future processing.

AI providers, experts, and other recipients

Third-party language-model and API providers process naming context to produce the conversation, reflections, and AI-generated name suggestions. This context may include your messages, confirmed preferences, and optional original-name information. Provider processing and retention are also governed by the terms applicable to those services; do not assume that AI processing is anonymous or has zero retention.

If you purchase an expert plan, the assigned expert can access the information needed to create or review your names. Authorised operators may access relevant records for support, delivery, and troubleshooting.

The service uses Supabase for authentication and database records, Vercel for hosting, Cloudflare R2 for card assets, Resend for service emails, and Dodo Payments for checkout and payment administration. Information needed for those functions is processed by those providers. Dodo Payments also processes transaction information under its own privacy policy.

We may disclose information when required by law or when necessary to investigate fraud, protect users, or enforce our service terms.

Public cards and voting links

Creating a share or voting page makes the information displayed on that page available to people who can access its link. This can include name choices, meanings, and text reflecting your naming preferences. Public share pages may be indexed by search engines, and recipients can copy or redistribute their contents. Review a page before sharing it.

Contact support if you need help removing a public page. Removing it from SoulName cannot remove copies already saved by other people or immediately remove search-engine caches.

Cookies, storage, and international processing

Essential authentication cookies maintain your signed-in session. Disabling them can prevent sign-in and access to saved journeys. Technical and interaction information may be used to understand whether features work and to diagnose problems.

With your permission, we use Google Analytics to measure visits, campaign sources, selected product interactions, and purchases. This uses browser identifiers and optional cookies. We do not send your names, conversations, naming preferences, or generated name content as analytics event data. Advertising personalisation and Google Signals are disabled in this integration.

You can allow or reject analytics and change your choice using “Privacy choices”. Rejecting it does not prevent naming or payment. Withdrawing permission stops future analytics collection and pending server-side analytics delivery; it does not automatically erase data already received by Google. Contact us about deletion requests. We remember your browser choice for up to 180 days and use locally saved campaign attribution for up to 30 days. Order-linked measurement records are handled separately from essential payment records. Google describes its processing in its Privacy Policy.

Separately, with your advertising-measurement permission, Meta Pixel and Conversions API measure visits to selected public pages, checkout starts, and confirmed purchases. Meta can receive ad click identifiers, browser information, timestamps, product identifiers, amounts, and currency. Browser requests also expose your IP address to Meta as the recipient. We do not send names, naming conversations, email addresses, payment card details, or private order and session URLs to Meta through this integration.

Advertising measurement is off until you explicitly allow it in “Privacy choices”, independently of Google Analytics. We remember this choice for up to 180 days and ad click attribution for up to 30 days. Withdrawing it stops browser collection immediately and cancels pending server deliveries once the withdrawal reaches our server; an offline withdrawal retries when connected. It cannot recall events already sent. See Meta’s Privacy Policy for its processing, and contact us about deletion requests.

SoulName is operated from China, and its service providers may process information in other countries. The protections available there may differ from those in your country. Contact us for details about the providers and transfer arrangements relevant to your information.

Retention and your choices

Account and naming records are retained to provide saved journeys and purchased results. How long other records are needed depends on delivery and support needs, security investigations, disputes, and applicable record-keeping obligations. Deleting an account does not necessarily require deletion of transaction records we must retain by law, or immediate removal from provider backups.

You may ask to access, correct, or delete your information by emailing us from your account address. Depending on the law that applies, you may also have rights to a portable copy, to restrict or object to processing, and to complain to a data protection authority. We may verify your identity before acting and will explain any information that must be retained.

Changes to this policy

We will update this page when our practices change and change the date above. Where applicable law requires additional notice or consent, we will provide it before applying the relevant change.
